How to View and Manage Donors

GiveWP provides a complete donor management system that helps you track, organize, and communicate with supporters.
Each donation made through your campaigns automatically generates a donor record, which stores details such as contact information, total donations, and contribution history.

The Faun WordPress Theme does not modify this functionality but ensures that donor interactions, forms, and confirmation messages appear consistent with your site’s design.

Access the Donors Dashboard #

  1. In your WordPress dashboard, go to GiveWP → Donors.
  2. You’ll see a list of all donors who have made at least one donation through your site.
  3. The list includes key details such as:
    • Donor Name
    • Email Address
    • Total Amount Donated
    • Number of Donations
    • Date of Last Donation

Use the search bar to quickly find a donor by name or email address.

View a Donor Profile #

Each donor has an individual profile that consolidates all activity related to that person.

  1. In the Donors list, click a donor’s name to open their Donor Profile.
  2. The profile includes:
    • Contact Information – Name, email, and billing address.
    • Donation History – List of every contribution made, with dates and amounts.
    • Campaigns Supported – Which campaigns or forms the donor has contributed to.
    • Total Donated – Lifetime donation amount.
    • Notes – Private comments or reminders added by administrators.

You can update donor details directly in the profile if corrections or edits are needed.

Edit or Merge Donors #

Sometimes, duplicate donor records can appear if a supporter donates using different email addresses.
GiveWP allows you to merge or edit these entries.

To edit a donor:

  1. Open the donor profile.
  2. Click Edit Donor in the top-right corner.
  3. Update any details and click Save Changes.

To merge duplicate donors:

  1. Go to GiveWP → Donors.
  2. Select the donor record you want to merge into another.
  3. Click Merge Donor.
  4. Choose the primary donor record to retain.
  5. Confirm the merge.

Merging combines all donation history and information into a single record without losing data.

Filter and Export Donor Data #

The Donors screen includes several filters to help you organize your donor base.

  • Search – Find donors by name or email.
  • Sort by Total Donated – Identify top supporters.
  • Filter by Date Range – View donors active during a specific campaign period.
  • Export Donors – Click Export to download donor data as a CSV file for reporting, email marketing, or CRM use.

Exported data includes donor contact details, total donations, and the number of contributions.

Add Private Notes #

You can add internal notes to a donor’s profile for recordkeeping or team communication.

  1. Open a donor profile.
  2. Scroll to the Notes section.
  3. Add a note (e.g., “Prefers monthly updates” or “Attended 2025 fundraising event”).
  4. Click Add Note to save.

These notes are private and not visible to donors.

Contacting Donors #

GiveWP does not send bulk marketing emails by default, but you can contact donors individually or export their data for use in your email service.

  • Use the donor’s email address in their profile to send follow-ups manually.
  • For newsletters or bulk updates, export your donor list and upload it to your email marketing tool (such as Mailchimp).
  • Always ensure you comply with GDPR or other privacy laws when contacting donors.

Managing Recurring Donors #

If you use the Recurring Donations add-on, recurring donors will appear in the Donors list with active subscription information.

  1. In the Donor Profile, scroll to the Recurring Donations section.
  2. You can view:
    • Active or expired subscriptions
    • Donation frequency (monthly, yearly, etc.)
    • Amount and renewal date
  3. You can also cancel or pause a recurring donation if requested by the donor.

Best Practices #

  • Regularly review donor records to maintain accuracy.
  • Merge duplicate profiles to keep reports clean.
  • Use donor notes to track relationships and personalize future communication.
  • Recognize top donors publicly if appropriate (with permission).
  • Export and back up donor data periodically for security and compliance.
